1. Deadlines

2. Session date and timing
- You can log on to the speakers’ portal to find the date and timing of your session. Further information will be provided in due course.
3. Session preparation calls
- Each session is led by one or two session chair(s).
- The chair & WindEurope will schedule a session prep call to:
- Discuss the session and the content of the presentations.
- For presentations: agree on the title of your presentation with the session chair. If the presentation is based on an abstract, the title of the presentation will by default that of the abstract. If the title changes, inform the conference team by email ([email protected])
- Discuss and agree on the topics to be discussed during the session.
- Determine the running order of the presentations and/or questions to be discussed.
- Address any other relevant topics.
4. PowerPoint (PPT) requirements
Depending on the format of the session, you might be asked to prepare a PowerPoint presentation. For abstract submitters selected to present in a technical and scientific session, preparing a PowerPoint presentation is mandatory.
Presenters shortlisted for a technical and scientific session are required to submit a first draft of their presentation by 3 December 2025. The draft should be a close as possible to a final presentation. Drafts will be reviewed by session chairs before the oral presentation slot is confirmed.

5. Onsite briefing
An onsite pre-session briefing will be organised before each session and is mandatory for all speakers and chairs to attend. Unless specified otherwise, it will start 30 min before the session and will take place in the speaker room. It’s an opportunity to:
- meet your fellow speakers and chair before the session starts;
- discuss any outstanding points;
- make fellow speakers & conference team aware if any changes were made in your presentation;
- recap on stage arrangements and logistics.
After the briefing, the WindEurope conference team will escort speakers to the session room to get equipped with microphones.
6. Presenting during the event:
For sessions taking place in the conference auditoria:
- All presentations will be managed from a central system and remotely loaded to a laptop in the session room.
- Only single projection will be available during your session.
- You will be able to control your slides with a clicker, a mouse or the presentation laptop’s keyboard.
- For changes to your presentation, bring your new presentation on a USB stick to the speakers’ room.

7. Do I need to submit a paper?

Eligibility of scientific paper publications
If you specifically applied for this when submitting your abstract, your abstract may be selected by the European Academy of Wind Energy for publication in a dedicated open access volume of the IOP Journal of Physics: Conference Serie. Selected abstracts will be invited to submit a paper based on their abstract. Selected papers will be published depending on the peer-review outcome. See here for guidelines.
Selected abstracts eligible for a scientific publication will be contacted individually by the WindEurope Conference Secretariat by 28 November 2025.
- Confirmed speakers and poster presenters who did not apply for a scientific publication or were not selected for one can optionally produce a full paper in addition to the presentation. This will not be peer-reviewed but be included in the online conference proceedings for the event. See here for guidelines
